This Privacy Policy explains how JAXOK, a division of V&A Networking Pvt. Ltd. ("JAXOK", "we", "us", "our"), collects, uses, discloses, and safeguards personal data when you visit our website, contact us, apply for a role, or register for one of our programs (the Fellowship Program and the Jaxok Forward Program). For this data we act as a Data Fiduciary under India's Digital Personal Data Protection Act, 2023 ("DPDP Act") and, where applicable, as a data controller under the EU/UK General Data Protection Regulation ("GDPR").

1. Who we are

JAXOK is operated by V&A Networking Pvt. Ltd., a company based in HITEC City, Hyderabad, Telangana, India. You can reach our Grievance Officer at privacy@jaxok.com for any question or request about this policy.

2. Data we collect

• Enquiry and contact data: your name, email, company, phone number, and the contents of any message you send through our contact form or by email.
• Careers data: details you submit when applying for a role, including your name, email, the field or department, links to your portfolio, LinkedIn or GitHub, and anything in your application message or CV.
• Program data: details you submit to register interest in or enrol on a program, including your name, email, phone, background and eligibility information, and your remote or on-site preference.
• Payment data: for paid programs, payment is processed by our third-party payment gateway. We receive limited transaction details (such as a payment reference, amount, and status). We do not store your full card or bank details on our systems.
• Technical and usage data: collected automatically, such as IP address, browser and device type, pages viewed, referring URL, and similar diagnostic data, gathered via cookies and analytics (see our Cookie Policy).
• We do not intentionally collect special-category or sensitive personal data, and we ask that you do not submit it through our forms.

3. How and why we use your data

We process personal data for the following purposes and legal bases:

• To respond to enquiries and provide our services and information (performance of, or steps toward, a contract; our legitimate interests; or your consent).
• To evaluate and process job applications (legitimate interests and steps prior to a contract).
• To review program registrations, select participants, deliver the program and internship, issue certificates and a Letter of Recommendation, and process payment for paid programs (performance of a contract and our legitimate interests).
• To operate, secure, and improve our website and understand usage (legitimate interests; consent for non-essential analytics).
• To comply with legal, tax, and accounting obligations and to establish, exercise, or defend legal claims.

Where we rely on consent, you may withdraw it at any time, which does not affect processing carried out before withdrawal.

4. Sharing and disclosure

We do not sell your personal data. We share it only with: (a) service providers and data processors who help us operate, such as hosting, email, form-delivery, analytics, and payment-gateway providers, under contractual confidentiality and security obligations; (b) partner startups and companies that host program internships, where this is necessary to place or supervise you, and only to the extent needed; (c) professional advisers and authorities where required by law; and (d) a successor entity in the event of a merger or reorganisation.

5. International transfers

Some providers may process data outside your country. Where we transfer personal data internationally, we use lawful transfer mechanisms and appropriate safeguards (such as standard contractual clauses) consistent with the DPDP Act and GDPR.

6. Data retention

We keep personal data only for as long as necessary for the purposes above or as required by law, after which it is deleted or anonymised. As a guide: enquiry data is kept for up to 24 months from your last contact; application data is kept for up to 12 months to consider you for current and future roles; program records, certificates, and payment and tax records are kept for the period required by applicable law (for financial records, typically up to 8 years). You can ask us to delete your data sooner, subject to any legal retention obligations.

7. Security

We apply reasonable technical and organisational measures, including encryption in transit, access controls, and monitoring, to protect personal data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your rights

Subject to applicable law, you may:

• request access to, and a summary of, the personal data we process about you;
• request correction, completion, or updating of inaccurate or incomplete data;
• request erasure of your personal data where it is no longer required;
• withdraw consent where we rely on it;
• nominate another individual to exercise your rights in the event of death or incapacity (DPDP Act); and
• under GDPR, request restriction or portability, or object to certain processing.

To exercise any right, email privacy@jaxok.com. You also have the right to register a grievance with us first, and to lodge a complaint with the Data Protection Board of India or your local supervisory authority.

9. Children

Our website and programs are intended for adults. We do not knowingly collect the personal data of a child (under 18) without verifiable consent of a parent or lawful guardian as required by the DPDP Act. If you believe a child has provided us data, contact us and we will delete it.

10. Cookies

We use cookies and similar technologies as described in our Cookie Policy, which forms part of this Privacy Policy.

11. Data breach

In the event of a personal data breach that is likely to affect you, we will notify affected individuals and the Data Protection Board of India (and any other competent authority) where required and within the timelines prescribed by applicable law.
